This Privacy Policy explains how Xyncema Kreatif Studio handles information submitted through Xyncema.com, direct communication, newsletter signup, project inquiry flows, and related public website surfaces. It is written for visitors, prospective clients, collaborators, and newsletter subscribers.
Information we collect
We may collect contact details such as name, email address, WhatsApp number, company or brand name, role, website, Instagram or social links, and preferred communication channel.
We may also collect project context such as business goals, service interests, scope, budget range, timeline, launch date, references, competitors, file or Drive links, notes, and messages submitted through contact, estimator, newsletter, or start-a-project forms.
If you contact us by email, WhatsApp, social media, calls, meetings, or another channel, we may keep the conversation history needed to respond, prepare recommendations, manage follow-up, and maintain a business relationship.
Information we ask you not to submit
Please do not submit passwords, payment card numbers, bank credentials, national ID numbers, health data, confidential client data, production API keys, or other highly sensitive information through general website forms. If sensitive access is required for an approved project, we will agree on a safer handover method.
How we use information
Information is used to review inquiries, qualify fit, understand business context, prepare recommendations, estimate scope, respond to messages, schedule calls, send proposals, manage project discussions, and improve our intake and communication process.
Newsletter emails are used to send studio notes, Xyncema updates, practical resources, and occasional service-related announcements. You can ask to stop receiving these messages at any time.
Legal and business basis
We process submitted information to respond to your request, take steps before a possible project agreement, perform agreed services, manage legitimate business records, protect the website, comply with applicable obligations, and send newsletter communication when you choose to subscribe.
Sharing and service providers
We do not sell personal information. We may process information through tools used for website hosting, email delivery, analytics, CRM or lead routing, file storage, forms, spreadsheets, project management, payment, security, or internal operations, only as needed to run the website, communicate, and deliver work.
We may share relevant project information with approved collaborators or vendors when they are involved in a project, such as designers, developers, editors, photographers, paid-media specialists, hosting providers, or other operational partners.
Website inquiries may be delivered through Resend to Xyncema's Google Workspace mailbox. Cloudflare Turnstile may process technical and interaction signals to distinguish legitimate submissions from automated abuse. Google Tag Manager and Google Analytics 4 may process consented, nonessential website measurement events. These providers may process information in countries outside Indonesia.
Cookies, analytics, and tracking
Xyncema.com may use cookies, server logs, analytics tools, performance monitoring, spam prevention, and advertising or conversion measurement tools. These tools may collect technical information such as browser, device, approximate location, referring page, pages viewed, form events, and interaction signals.
Nonessential analytics storage is denied by default. You can accept analytics, reject nonessential tracking, or manage your preference through the website consent controls. The preference is stored for up to 180 days. We also respect the Global Privacy Control signal by defaulting nonessential measurement to rejected.
Analytics events are designed not to include names, email addresses, phone numbers, project messages, or other form content. Campaign parameters, landing path, referrer, page views, and interaction event names may be used to understand acquisition and conversion performance.
Portfolio and public references
Portfolio pages may reference public client websites, app pages, screenshots, or public project surfaces to explain Xyncema's work. Private project information is not intentionally published without permission or a public source.
International processing
Some service providers or collaborators may operate outside your country. When information is processed or stored internationally, we aim to use reputable providers and reasonable safeguards appropriate for the type of information involved.
Retention
Inquiry records may be kept while they are useful for communication, project planning, legal records, or relationship management. Project records may be kept for operational continuity, portfolio reference, accounting, support, warranty, dispute handling, and compliance needs.
Newsletter records are kept until you unsubscribe or ask us to remove the email. We may retain limited records where needed to honor unsubscribe, deletion, or suppression requests.
Website consent preferences may be stored in your browser for up to 180 days. Short-lived technical records used for rate limiting, duplicate prevention, and spam control are retained only as long as needed for those safeguards. Provider-level logs and backups may follow the relevant provider's documented retention cycle.
Your choices
You can request access, correction, or deletion of your contact information by emailing us. You can also ask to stop receiving follow-up or newsletter communication.
Some requests may be limited when we need to keep records for active project delivery, accounting, legal, security, dispute, or legitimate business reasons. We may need to verify the requester before acting on a request.
Security
We use reasonable operational safeguards for submitted information, but no website or internet transmission can be guaranteed to be fully secure. Avoid submitting passwords, payment card details, or highly sensitive information through general contact forms.
Children
Xyncema.com is intended for business, founder, creator, collaborator, and professional audiences. We do not knowingly collect information from children through the website.
